Insuring Risk-Free Cash Pool Management

An international pharmaceutical group faced an operational challenge in securing management of its cash resources. The organisation was using cash pooling, a financial strategy which allows to combine different credit and debit positions into one centralised account.

Cash pooling requires adjustments several times a day depending on the needs for cash of particular subsidiaries. To perform this task effectively, our customer had to know the cash balance of every bank account of each of its subsidiaries. Three times a day a manager would perform this task, as they were the only ones with access to all the bank accounts. This was labor-intensive as the data needed to be copied manually into a spreadsheet file. Thus, it resulted in the process being prone to errors and delays.

Solution

We developed a software robot based on the UiPath platform.

The robot was designed as an attended robot, which required an employee to launch it and go through login processes. The security and limitations imposed by the use of physical tokens were in mind when we made this decision.

After the employee performed the initial login and launch, the robot swiftly crawled through the bank systems, switched between interfaces of subsidiaries, and copied the data directly to a spreadsheet file stored in a network location.

Using this robot saved up to 30 days of manager’s work a year.

It significantly limited the delays and human errors as the manager just needed to spend a few minutes to login and launch the robot.

It effectively optimised the process and delivered a higher quality of data.
