Challenge

A government agency faced the challenge of bringing cases to court, needing to file up to 1000 claims. The process was tied to the court-provided web system. The system’s performance was highly unstable, turning the process into an operational challenge and on numerous occasions requiring employees to work during nights or on weekends.

Solution

To address this challenge, a software robot was developed based on the UiPath platform.

The robot was designed as an attended robot, meaning it required an employee to launch it. This was due to the necessity of using electronic signature devices. Before the robot could be launched it required an employee to insert the signature card, enter the password, and secure the computer.

Once launched the robot accessed each file in the network location using Secure File Transfer Protocol (SFTP). Data was generated from another system in Extensible Markup Language (XML) format. Each file was processed to collect all relevant information on a case to be filed. The robot accessed the court system over the internet browser, logging into it to file cases one by one. After each filing, the confirmation was printed out to be archived for further legal purposes.

To enhance the agency’s operation the robot was typically launched in the afternoon processing through the night in order for the employees launching it the next day to archive the previous printed documents.

Effects

Using the robot was beneficial as case filing during the night takes on average 4 times less than during the day. This resulted in the robot saving around 1.5 FTEs plus the decrease in filing time by over a week to two days.

Additionally, the robot eliminated human errors such as occasional typos in the filing process which resulted in fewer case rejections.
